Checking in away from the office
Field staff check in on StaffSuite Go from their own phone, so there is no attendance hardware to install or carry. The location is captured with each check-in, mock GPS apps are blocked, and admins approve the phone each employee uses.
For the details of the check-in radius and the server-side distance check, see the GPS attendance page.
Daily task sheets for work done in the field
Attendance shows when someone started and finished, but not what they worked on. StaffSuite Go adds daily task sheets: for each task, the employee records the project, a description and the time spent. Entries can be created, updated or deleted, and the task history stays in the app.
In StaffSuite Admin, team leads can see who has submitted a task sheet today. Tasks can also be assigned to employees and tracked.
For a team lead who cannot see the team in person, the check-in time and the task sheet together give a simple record of each working day.
Patchy mobile coverage
Field work often means moving in and out of coverage. StaffSuite Go and StaffSuite Admin both keep a cache on the device. A banner shows when connectivity is lost, previously loaded information is still there to read, and everything syncs on reconnect.
Keeping a distributed team informed
When people rarely share an office, announcements need another channel. StaffSuite Go delivers push notifications for announcements, leave approvals and status updates, and the notice board records which notices each person has read or not yet read.
Admins create teams, assign team leads and add or remove members as people move between teams. In StaffSuite Go, team members can see team attendance and monthly team reports.
Remote and hybrid staff
Not every remote employee is out in the field. Staff who work from home can request WFH days, and on an approved day the location check is bypassed, so a check-in from home is not rejected for being outside the geofence.
Rolling it out to a field team
Getting a field team started takes four steps:
- The owner or HR manager installs StaffSuite Admin and registers the company.
- Each field employee is added with their own unique employee ID.
- Employees download StaffSuite Go on their phones and make their first GPS check-in.
- From then on, attendance, leave and payroll are followed in the StaffSuite Admin dashboard.
Both apps are on Android and iOS, so staff can use the phones they already have, and StaffSuite Go prompts users when an app update is available. Role-based access keeps the employee and admin views separate.
If several people supervise field staff, the owner can invite them as additional admins with role-based access and revoke it later.
